Job Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for overseeing daily office operations, managing administrative tasks, and supporting the team with various clerical duties.
Duties
- Manage office supplies inventory and place orders when necessary
- Scanning and document organization, using OneDrive and communication to Calgary
- Payroll documentation and gathering from field offices and sent to Calgary weekly
- Assist in organizing and scheduling meetings, appointments, and events
- Handle incoming and outgoing correspondence, including emails and phone calls
- Maintain filing systems, both electronic and physical
- Support staff with administrative tasks as needed
- Assist in training development for new employees
- Handle budgeting tasks and asset record-keeping using excel
- Ensure proper phone etiquette is maintained within the office
- Provide clerical support to various departments
- Oversee team management activities within the office
- Assist dispatch and permits team for rig moves and permitted loads
- Support the drivers and administration staff with Electronic Logs and Motive app
Experience
- 2+ years in a similar office or professional environment
- 2+ years of oilfield services administration
Required Skills:
- Proven experience in office administration or a similar role
- Strong communication skills, both written and verbal
- Proficiency in Microsoft Office 365 Suite (OneDrive, Word, Excel, Outlook)
- Ability to multitask and prioritize tasks effectively
Nice-to-Have Skills:
- Previous office experience
- Familiarity with the trucking and rig moving business
- Drilling rigs and oil and gas field knowledge
- Permitting heavy duty loads & routes
- E-Logs (Motive) knowledge an asset!
