Job Overview
We are seeking a professional and organized Office Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities in a fast-paced environment. The Office Receptionist will play a vital role in maintaining smooth office operations and creating a welcoming atmosphere for clients and staff alike.
Responsibilities
- Greet visitors and clients in a courteous and professional manner at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately
- Schedule appointments and maintain calendars using Microsoft Office
- Perform data entry and maintain accurate records
- Handle clerical duties such as filing, photocopying, proofreading documents, and organizing files
- Support administrative tasks including billing, bookkeeping, and basic bookkeeping using Sage 50 and Xero
- Assist with customer support by addressing questions or concerns promptly and professionally
- Ensure the reception area is tidy, organized, and welcoming at all times
- Manage incoming mail and correspondence efficiently
- Work overtime during peak months to meet operational demands
Experience and Skills
- Prior office experience is preferred, especially in administrative or clerical roles
- Experience with front desk operations, multi-line phone systems, and customer service is highly desirable
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and data entry skills are essential
- Knowledge of bookkeeping software preferred, but not required
- Accounting office experience is advantageous but not required; training will be provided for relevant tasks
- Strong organizational skills with attention to detail and excellent phone etiquette are necessary
- Ability to type quickly with accuracy and perform proofreading tasks effectively
- Strong communication skills a requirement
