Overview
As a Payroll Specialist at Optimum HR Solutions, you will play a critical role in establishing and growing our payroll services, including setting up payroll systems, processes, and client onboarding, as well as identifying, engaging, and securing new payroll clients. You will also deliver accurate, compliant, and timely payroll services to our clients. You will work closely with the President and clients to manage all aspects of full-cycle payroll, ensuring compliance with CRA requirements and employment legislation. Given the hands-on and evolving nature of this role, you must be highly organized, detail-oriented, and capable of managing multiple client payrolls simultaneously. You will be responsible for maintaining a high standard of service, providing trusted payroll support, and contributing directly to the growth of our payroll offering.
Responsibilities
Business Development & Growth
- Assist with sourcing and securing payroll clients as needed
- Support sales conversations by providing payroll expertise
- Candidates who bring existing payroll clients or relationships are considered a strong asset
- Collaborate with leadership on building scalable payroll processes
Payroll Delivery
- Manage full-cycle payroll for multiple clients across different industries
- Process regular, off-cycle, and year-end payroll accurately and on time
- Prepare and submit statutory remittances to CRA, including CPP, EI, and income tax
- Handle year-end payroll activities including T4s, T4As, and reconciliations
- Prepare and issue Records of Employment (ROEs)
- Ensure payroll compliance with federal and provincial legislation
- Address payroll inquiries and resolve discrepancies efficiently
- Maintain accurate payroll records and documentation
Client & Consulting Support
- Work with multiple clients simultaneously while maintaining organization and accuracy
- Act as a trusted payroll advisor to clients, answering questions and providing guidance
- Support onboarding of new payroll clients and systems
- Adapt to different payroll platforms and client processes
Skills, Knowledge, Qualifications & Experience
- 3 to 4 years of full-cycle payroll experience
- Strong knowledge of all aspects of payroll with minimal supervision
- Hands-on experience with CRA remittances, T4s, and ROEs
- Experience working with multiple payroll platforms
- Previous experience in a consulting or multi-client environment
- Highly organized with the ability to manage competing priorities
- Strong attention to detail and confidentiality
- Comfortable being a stand-alone payroll specialist
- Comfortable working independently and remotely
- Willingness to support business development efforts
