Position Summary
This position is responsible for the accurate and timely processing of payroll within a computerized payroll system. The Payroll Specialist oversees the full payroll cycle of all the dealerships in the group, including collection and verification of timekeeping information, incorporation of deductions, preparation of reports, third-party remittances, Records of Employment, and resolution of employee payroll and vacation related matters. The role ensures compliance with the Employment Standards Act, 2000 and applicable federal requirements.
Position Duties and Responsibilities

Maintain payroll information by collecting, calculating, and accurately entering payroll data

Enter, update, and verify employee payroll data including direct deposit, deductions, and personal information

Process semi monthly payroll, including commissions, bonuses, and incentive pay where applicable

Prepare payroll reports summarizing earnings, taxes, deductions, leave, disability, and non-taxable benefits

Review and resolve time sheet discrepancies; obtain supervisory approval where required

Respond to employee payroll inquiries and provide accurate information in a timely manner

Update payroll records for changes in wage rates, benefits, exemptions, job titles, and departmental transfers

Calculate and remit statutory deductions (CPP, EI, income tax) in accordance with Canada Revenue Agency requirements

Coordinate and reconcile WSIB/WCB, short-term and long-term disability claims; liaise with HR, managers, and external agencies

Calculate salary adjustments, increments, and vacation pay in accordance with Ontario legislation

Prepare and issue Records of Employment (ROEs) in line with Service Canada guidelines

Reconcile year-end payroll, including taxable benefits; prepare and issue T4 slips

Maintain records of attendance, leave, and overtime using payroll systems

Ensure proper general ledger coding and reconciliation for payroll entries

Assist with audits and provide payroll documentation as required

Perform other administrative duties as assigned
Qualifications & Certifications

Post-secondary education in Payroll, Accounting, or related field

Payroll Compliance Practitioner (PCP) designation or working towards it is an asset

Minimum 4+ years of payroll experience, preferably in a dealership or similar environment

Proficiency in and Microsoft word and Excel

Strong knowledge of Ontario payroll legislation and compliance requirements

Experience with PBS system is an added advantage
