Overview
We are currently seeking a highly organized, efficient, and detail-oriented Medical Office Assistant (MOA) to join our team on a full-time or casual basis. This is an excellent opportunity for an individual with exceptional communication skills, strong organizational abilities, and a patient-centred approach to contribute to a busy, collaborative medical practice. The successful candidate will play an integral role in supporting the daily operations of the clinic while providing outstanding service to patients and healthcare providers.
Duties
- Serve as the first point of contact for patients, offering clear instructions and compassionate support throughout their visit, ensuring smooth flow of information for effective patient care.
- Accurately collect, verify, and update patient demographics, health records, and referral information in various systems.
- Patient scheduling/re-scheduling and confirmations via phone and in person for office appointments, clinics, and procedures.
- Coordinating new patient intakes.
- Prepare rooms for patient appointments
- Perform a variety of administrative duties such as billing assistance, inventory tracking, faxing, scanning, filing, and organizing reports and documentation.
- Uphold patient confidentiality and adhere to professional ethics and standards of care
Experience
- Completion of a recognized Medical Office Administration Diploma (or equivalent).
- Proficiency in Electronic Medical Records (EMR) systems and other computer systems.
- Knowledge of medical terminology, procedures, and documentation.
- Excellent knowledge and adherence to PHIPA and all legislation related to patient and medical records privacy and compliance.
- Excellent organizational and time-management skills.
- Ability to work independently and enthusiasm for being part of a functional team.
- Strong communication skills, both written and verbal.
- Strong attention to detail and data entry accuracy.
- A history of dependability and reliability.
- Must have completed all internal training assigned in Citation (HR Downloads).
Additional Information:
- Full-time/Casual position
- 4–5 days per week
- Shifts typically begin between 8:00 AM and 9:00 AM
- Shifts typically end between 4:00 PM and 5:00 PM
- Flexibility to work at various Oshawa Clinic Group locations may be required
- All employees are required to work in compliance with the Occupational Health & Safety Act and its regulations.
- All employees are required to work in compliance with PHIPA legislation; understanding and having a deep respect for patient privacy and data protection.

Pay: $21.31-$23.50 per hour
