About the Grant Coordinator Role:
Reporting to the Senior Research Grants Specialist, the Grant Coordinator is responsible for supporting a wide range of pre-award applied research and innovation activities. The incumbent develops and maintains efficient internal process that facilitate high-quality grant proposal submissions and effective coordination between the institution, partners, and funders. The incumbent coordinates, tracks, and monitors all pre-award grant activities including initial start-up requirements, application status reports, and project budgets. The incumbent develops templates, tools, and guidance materials to streamline proposal preparation, supports internal review committees, and coordinates approvals for grant submissions. The incumbent gathers and manage data related to Humber grant activity and keep abreast of current technology, partnership and grant prospects. The incumbent also contributes to data management, record keeping, and the tracking key performance indicators.
Key Responsibilities:
Internal Processes
- Develops a systematic grant review & submission process for a variety of grant programs.
- Creates templates for salary and cost information, program descriptions and contact information commonly used for grants.
- Administers internal grant review committees, including scheduling meetings, preparing documentation, and communication.
- Manages the internal notice of intent to apply process and ensures compliance with institutional timelines and requirements.
- Creates and manages internal files and records for each submission.
- Manages internal approval workflows to ensure alignment with grant deadlines.
- Coordinates with post-award team to ensure smooth transition when funding is awarded.
- Develops templates, checklists, and guidance documents for proposal preparation.
- Maintains internal databases/portals for upcoming grant deadlines.
- Monitors and determines on-going eligibility of faculty members for various grant opportunities.
- Researches and recommends enhanced administrative management procedures and policies and keeps current with best practices in grant management.
- Assist with the routing of agreements to ORI staff, Industry Partners, and the institution’s legal team.
Grant Support
- Works with project stakeholders, including faculty members and external partners, to identify research funding opportunities.
- Provides expert advice to develop and complete research funding proposals.
- Assists in drafting and reviewing research proposals and budgets and executing research plans.
- Maintains relationships with existing and prospective research partners, including industry, community and academic organizations.
- Coordinates the external funding application system; updates relevant guidelines and processes as needed.
- Assists in the full range of activities required to prepare, submit, grant proposals to foundation, governmental and corporate sources.
- Assists with researching foundations and corporations to evaluate potential funding opportunities.
- Assists with marketing initiatives with respect to current grant opportunities.
Reporting
- Maintains a stable reporting effort, monitoring missing or erroneous data, tracking its sources and working with operations and management to resolve or minimize immediate and future issues.
- Acts as a key resource and lead metrics collection/tracking/reporting of grant application deliverables and activities for foundation/corporate/governmental donors and Humber policies and procedures.
- Collects and reports on departmental deliverables and metrics for internal and external stakeholders, including government agencies and professional organizations.
- Provides regular updates and reports on grant application results to ORI staff and leadership.
- Tracks submissions and confirmations.

Education
- Bachelor’s degree in business administration or a related field.
Experience/Skills
- Project management
- Budget development and management skills
- Experience with Tri-Council and/or foundation research grants
- Excellent computer software skills (especially MS Office, and data analysis programs)
- Excellent written and oral communications skills including public speaking.
- Excellent listening skills, conflict resolution, negotiation skills, client relationship management.
- Ability to promote excellent working relationships with both academic and non-academic staff.
- 1-2 years of progressively responsible data analysis and administration experience.
- Knowledge and experience within a post-secondary or educational administration environment is considered an asset.
- Proven expertise in usage of MS Office Suite, especially Excel and PowerPoint, and related compensation data management tools.
