Administrative Assistant (Lab Services)
About the Job
Reporting to the Manager of Lab Services, the Administrative Assistant is one of two administrative positions that support our customers and 12-member lab team. The lab services the agricultural community, municipalities and homeowners.
This role keeps the lab running smoothly by providing efficient, accurate, and friendly service during sample drop-offs, payments, and billing.
Hours are 8:00 a.m. to 4:30 p.m., Monday to Friday, fully on-site in Bible Hill.
What you’ll do
- You are the primary point of contact for customer drop-offs and coordinate delivery with other locations
- Receive, log, and label incoming samples following established laboratory protocols
- Process in-person payments, submit invoice requests, and collaborate with the finance department on daily transactions
- Manage front-of-house communications including phone lines, general email inquiries, mail distribution, and courier packages
- Format or create documents as required using Microsoft Office 365
- Monitor laboratory supply levels and proactively initiate orders to maintain optimal stock
- Maintain an organized and accurate filing system
- Other administrative duties to support daily laboratory operations may be assigned

- Eagerness to learn established procedures and suggest ways to improve them
- The successful individual demonstrates strong judgement and initiative, keen attention to detail, and a highly organized, collaborative approach to teamwork
- High school diploma or equivalent; an administrative specialist diploma is preferred
- Minimum of 5 years’ experience in an administrative position or equivalent role
- Excellent time management and ability to balance multiple competing priorities
- Strong communication skills, able to coordinate across teams, and engage with clients
- Proficient with Microsoft Office (Excel, Word, Outlook); proficiency and high-level accuracy with other laboratory data entry systems such as a Laboratory Information Management System (LIMS) is an asset
- Has a ‘can-do’ attitude when working with colleagues and clients
