Job Summary
Seeking a dedicated and detail-oriented Real Estate Administrative Assistant to support our team of real estate professionals and office administrators. You will be responsible for administration, marketing, social media, as well as but not limited to other duties as described below. This position is ideal for a highly organized individual who thrives in a fast-paced environment and is committed to providing exceptional administrative support.
Responsibilities
- Provide comprehensive administrative assistance to real estate agents and office staff.
- Reception duties-answer telephones, greet clients/walk-ins
- Prepare, process, and manage real estate documentation, including contracts, listings, and agreements. Brokerload-input MLS Listings, upload photos, scan documents process new listing documents(price changes, extensions) etc.
- Maintain client databases, records, and transaction files with accuracy and confidentiality.
- Preparation of marketing materials, social media postings, and listing promotions.
- Ensure the smooth day-to-day operations of the office.
- Responsible for maintaining a clean, organized, and professional office environment to ensure a welcoming space for clients, agents, and visitors-Duties include, but are not limited to: cleaning and tidying common areas, windows, reception, meeting rooms, kitchen, and workspaces. Emptying garbage and recycling bins as needed.
- Other duties as assigned
Qualifications
- Experience in real estate administration or office administration is an asset (but not necessary)
- Superior customer service skills, including excellent telephone manner
- Proficiency in Microsoft Office
- Working knowledge of Canva
- Must be proficient with social media (Facebook, Instagram, LinkedIn, etc.)
- Strong computer skills with experience in data entry and clerical tasks.
- Effective verbal and written communication skills.
- Strong typing skills with attention to detail for proofreading documents.
- Ability to manage multiple tasks and deadlines in a professional manner.
- A positive, proactive, reliable, and team-oriented work ethic.
- Ability to work independently and follow office protocols with minimal supervision

Pay: $17.95-$20.00 per hour
