Inclusion Langley Society (ILS) is seeking a Temporary Full-Time (12 Months) Scheduling and Leave Management Coordinator to play a vital role in supporting our teams and ensuring continuity of services for individuals with intellectual and developmental disabilities. This position is ideal for an organized, detail‑driven professional who enjoys problem‑solving, collaboration, and working with purpose.
Reporting to the Workforce Planning Manager, the Scheduling and Leave Management Coordinator is a key operational partner within the People & Culture team. You will support staff scheduling across multiple programs, oversee employee leave administration, and ensure compliance with collective agreements, employment standards, and internal policies. Your work directly supports frontline teams and leadership by ensuring schedules are accurate, coverage is maintained, and employee leave is managed with fairness, confidentiality, and professionalism. This is an on-site position with a non-standard schedule that will vary based on operational needs. Hybrid or remote work is not a core component of the role.
In this role, you will:

Coordinate and maintain staff schedules across diverse programs and service locations

Process and communicate scheduling changes, shift adjustments, and coverage needs in a timely manner

Administer and track all employee leaves, including vacation, sick time, statutory and unpaid leaves

Ensure scheduling and leave practices align with collective agreements and employment legislation

Monitor absenteeism trends and escalate concerns appropriately

Collaborate closely with Payroll, HR, and program leaders to ensure accurate reporting and continuity

Prepare scheduling, overtime, and leave usage reports to support operational and leadership decisions

Support accommodation and return‑to‑work planning under management direction

Handle sensitive employee information with discretion and professionalism

Certificate in Human Resources, Office Administration, Business, or a related field (degree preferred)

1–2 years of experience in scheduling, coordination, or administrative roles

Experience in social services, healthcare, or non‑profit environments is an asset

Familiarity with HRIS, scheduling systems, Microsoft Office, and data reporting tools

Knowledge of employment legislation, policies, and staff rostering practices

This role requires the incumbent to undergo a Police Information Check (PIC), and a Vulnerable Sector Check by the Ministry of Justice

Ability to provide a Driver’s Abstract reflecting a clean driving record
