Overview
We are seeking a professional and organized Receptionist to join our team starting in August. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with medical or aesthetic offices, QuickBooks, and Google Workspace is a plus.
Responsibilities
- Greet visitors and clients warmly, maintaining a professional front desk presence
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately, including filing, record keeping, and updating client information
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Assist with administrative duties such as proofreading documents, organizing files, and managing office supplies
- Support bookkeeping activities using QuickBooks or similar software when necessary
- Provide excellent customer service by addressing inquiries promptly and professionally
- Maintain a clean and organized reception area to ensure a welcoming environment
Requirements
- Proven clerical or administrative experience, preferably in a medical or aesthetic office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with multi-line phone systems and excellent phone etiquette
- Exceptional organizational skills with attention to detail and accuracy in proofreading and typing
- Ability to handle multiple tasks efficiently while maintaining professionalism under pressure
- Previous experience with QuickBooks or bookkeeping is advantageous
- Excellent customer service skills with a friendly demeanor
- Ability to work independently as well as part of a team in a dynamic environment
- High school diploma or equivalent; additional office or medical/aesthetic office training is preferred
Pay: From $18.00 per hour
