We are seeking a highly organized, detail-oriented and experienced Family Law Clerk to join our growing practice. The ideal candidate has strong knowledge of Ontario family law procedures, excellent administrative skills, and the ability to support counsel in managing files efficiently from intake to resolution. This role begins as part-time with the intention of transitioning to full-time based on performance and firm needs.
Key ResponsibilitiesCourt Filing & Case Management
- File court documents through ONTARIO COURT WEBSITES, including:
- CaseLines
- Justice Services Online (JSO)
- Family Submissions Online (FSO)
- Portal uploads for motions, DROs, conferences, and endorsements
- Prepare and organize court materials (Form 14, 14A, 17A/17C, 13, 13.1, 25, 6B, 6C, 35.1, etc.)
- Track deadlines, case conference dates, motion dates, and limitation periods.
- Assist in preparing and uploading draft orders, confirmations, and endorsements.
Document Preparation & Legal Support
- Prepare Financial Statements (Form 13 / 13.1), including:
- Gathering disclosure
- Organizing bank records
- Summarizing Section 7 expenses
- Preparing net family property statements (NFP)
- Draft correspondence, retainer agreements, certificates of service, affidavits, and undertakings.
- Complete and update various family law forms using firm templates.
Technology, Software & Document Handling
- Strong use of Microsoft Office applications (Word, Excel, Outlook, Teams, OneDrive, SharePoint).
- Ability to edit and prepare PDF documents using Adobe Acrobat (combining, redacting, annotating, creating fillable forms).
- Use e-signature tools (DocuSign, Adobe Sign, Sync.com signature folders) to send out and track signed documents.
- Manage digital file systems and ensure proper naming conventions and version control.
Client & File Coordination
- Communicate professionally with clients, opposing counsel, court staff, and third-party professionals.
- Gather and organize disclosure from clients (financials, tax returns, appraisals, valuations, etc.).
- Schedule client meetings, mediations, and court attendances.
- Provide reminders to clients on outstanding tasks and disclosure.
Administrative Duties
- Maintain organized file structures in SharePoint/OneDrive.
- Assist with billing, docketing hours, and tracking retainer usage.
- Prepare invoices and send trust requests, deposits, and receipts.
- Open and close files in accordance with LSO requirements.
- Conduct conflict checks and ensure compliance with privacy/confidentiality standards.
Qualifications & Skills
- Minimum 3 years’ experience as a Family Law Clerk.
- Familiarity with the Family Law Rules, court processes, deadlines, and Ontario forms.
- Strong drafting skills and excellent written communication.
- Exceptional attention to detail and ability to work under tight timelines.
- Ability to work independently, prioritize tasks, and manage multiple files.
- Professional, empathetic, and client-focused demeanor.
- Experience with DivorceMate or willingness to learn is an asset.
- Experience using QuickBooks or trust accounting processes is an asset but not required.
Pay: $65,000.00-$70,000.00 per year
