AcuFast is currently recruiting for a part-time Administrative Assistant to support operations at our Saskatoon office. Reporting to the Human Resources Department, this position plays an important role in supporting the day-to-day operations of our Saskatoon office through inventory management, shipping and logistics coordination, office organization, and administrative support. This is an excellent opportunity for a highly organized, dependable individual who enjoys working independently while collaborating with multiple departments across the organization. The position is approximately 20–25 hours per week (4–5 hours per day), with flexibility in scheduling.
This position will include the following responsibilities and day-to-day functions, but is not limited to:
Inventory & Supply Management
- Manage operational inventory and office supplies, ensuring adequate stock levels are maintained to support day-to-day operations.
- Receive, inspect, and organize incoming shipments while maintaining accurate inventory records.
- Monitor inventory levels and coordinate supply purchases through approved vendors, including Uline and other suppliers.
- Maintain organized storage areas and ensure minimum inventory levels are maintained.
- Monitor inventory usage and recommend process improvements to improve efficiency.
Shipping & Logistics
- Prepare and coordinate domestic and international shipments to AcuFast locations, customers, and laboratories.
- Coordinate courier pickups, deliveries, and shipping documentation.
- Ensure shipping supplies are stocked and readily available.
- Support the efficient movement of materials and products across the organization.
Office Operations
- Help maintain a clean, organized, and professional office environment.
- Coordinate office supply requirements for multiple departments.
- Support visitor coordination, incoming deliveries, and general office logistics.
- Maintain shared office, storage, and common areas in an organized and professional manner.
- Assist with maintaining a safe, and efficient workplace.
Administrative Support
- Scan, organize, file, and maintain electronic and paper records.
- Assist with legal agreement administration and document tracking.
- Provide administrative support to the Human Resources Department and other business functions as required.
- Support special projects, employee initiatives, and other operational activities as assigned.
- Perform office errands and additional support duties as required.
- Maintain confidentiality and professionalism in all company-related matters.
The successful candidate would ideally possess the following experience and qualifications:
- Strong communication and customer service skills.
- Fluent in English (written and spoken).
- Excellent organizational and time management skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and work independently in a fast-paced environment.
- Proficient with Microsoft Office applications, including Outlook, Word, and Excel.
- Previous experience in office administration, inventory management, shipping/receiving, logistics, or a similar support role is considered an asset.
- Strong problem-solving skills and a proactive approach to work.
- Reliable, dependable, and able to work collaboratively across multiple departments.
- Ability to safely lift and move boxes, shipping materials, and office supplies.
- Valid driver's license with access to reliable transportation is considered an asset.
