The Role:
Reporting to the Proposals Specialist, the Document Control Coordinator will be tasked with coordinating tender submissions, document collections, monitoring bids and assist with maintaining subcontractor contact database.
Key Responsibilities:
Tender & Bid Management
- Coordinate site visits and estimator scheduling
- Maintain tender portal accounts and access credentials
- Review tender documents for scope distribution to applicable divisions
- Maintain master tender closing schedules across all divisions
- Coordinate tender submission requirements and document collection
- Assist in submitting RFI’s & RFQ’s for all divisions as required.
- Track bid results, awarded projects, and maintain bid/no-bid records
- Maintain subcontractor and supplier contact databases
- Generate weekly tender reports
- Track win/loss statistics by division and client
- Coordinate addenda distribution to internal teams
- Monitor tender portals daily for updates and new opportunities
Estimating Department Coordination
- Coordinate internal tender close timelines and submission deadlines
- Identify bundled scope opportunities between divisions
- Assist in preparing submission packages and supporting documentation
- Coordinate cross-divisional tender opportunities
- Request bonding, insurance, WSIB, COR, and prequalification requirements
Business Development Support
- Maintain client contact and invitation databases
- Research upcoming public and private sector opportunities
Qualifications :
- Postsecondary diploma or degree in Business Administration, Project Management, Construction Management, Engineering, or a related field is considered an asset.
- Minimum 2 years of experience in document control, administration or a related role within the construction, engineering, or infrastructure industry.
- Exceptional attention to detail with a proven ability to maintain accuracy while managing large volumes of documentation.
- Highly organized with strong time-management skills and the ability to prioritize multiple tasks in a fast-paced environment.
- Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and SharePoint.
- Ability to work independently while maintaining a high level of accountability and confidentiality.
- Demonstrated problem-solving skills and a proactive approach to process improvement and administrative efficiency.
