Position Summary
The Human Resources Administrator provides daily operational support to the HR team, playing a key role in delivering HR services and enhancing both employee and candidate experiences at the Ontario College of Pharmacists. This role supports recruitment, benefits and pension administration, HR reporting, records management, and performance management activities.
What you’ll do at OCP
Recruitment & Onboarding

Provide full cycle recruitment support including participating in job fairs, posting jobs, conducting preliminary interviews, creation of interview guides, conducting reference checks, preparing offer letter, and managing employee onboarding experience and first day orientation.

Identifies channels for external advertising, identifies active and passive candidates and develops pipelines for current and future vacancies, hard to fill roles, and high-volume roles.
Employee Support & HR Operations

As first point of contact, provide support and guidance for current and potential employees regarding general HR inquiries and making decisions related to escalation and delegation of complex inquiries to HR team members as appropriate.

Creates and maintains HR records and ensures all required information is appropriately stored in employee’s file while adhering to the College’s records management principles and guidelines. Perform quality control checks of employee files to ensure completeness and accuracy.

Responsible for maintaining, updating, and tracking employee information (new hires, internal mobility, departures etc.) in the Human Capital Management (HCM) system within pay cycle deadlines and assist staff with HCM inquiries. Coordinates employee movement and changes, prepares letters and documentation.

Maintains the Human Resources information on intranet site, working with the members of the HR team for specialized content updates.
HR Programs & Administrative Support

Contributes to the development and revisions of human resources operating procedures

Assists with the coordination and tracking of HR programs and related initiatives (i.e., training, performance management, wellness etc.)

Assist with the development and implementation of HR policies and procedures and provides support/coordination of related activities and initiatives.

Provide administrative support to the HR team with all HR related activities

Coordinates the benefits and pension administration including enrolling employees in the College’s group benefit plan and defined contribution pension plan. Updates required human resources databases with employee information including benefit and pension software and ensures strong data accuracy

Participates in the completion of compensation surveys, through the collection of comparative data

Coordinates the HR calendar of events, managing priorities, bookings, and re-bookings

Provides administrative support for HR meetings and committees

Other reasonable duties as assigned by Manager, Human Resources
What we’re looking for

Must have 2-3 years of recent relevant experience in human resources or a related role

Experience with HRIS systems is an asset

Knowledge of recruitment practices

Strong interpersonal and communication skills with the ability to build trust

High attention to detail, discretion, and confidentiality

Strong organizational and time-management skills
What experience we prefer

Post-secondary diploma in Human Resources, Business Administration, or a related field (or equivalent experience)
