Receptionist and Administrative Support

POSITION SUMMARY
Under the supervision of the Director of Facilities, the Receptionist serves as the first point of contact for
individuals reaching out to the University, whether in person or by phone. This role is responsible for
providing accurate information, guidance, and assistance in a friendly, professional, and welcoming
manner. As the initial representative of the University, the Receptionist plays a vital role in shaping the
public’s first impression and promoting a positive institutional image.
Key responsibilities include performing administrative tasks such as processing parcels and documents,
registering guests and contractors, issuing ID badges, keys, and fobs, and maintaining employee mailboxes
and an up-to-date staff directory.
The Receptionist also supports the scheduling and training of front desk team members.
Additionally, the Receptionist provides administrative support to the Facilities Department. This includes
tasks such as word processing, creating Excel documents, generating and receiving purchase orders,
photocopying, filing, managing office supply inventory, preparing mail-outs, and performing other general
administrative duties as needed.
KEY RESPONSIBILITIES
- Greet people arriving at the University in a courteous and professional manner, providing basic
information about the University and directions as required or notifying requested party or
department representative of scheduled arrivals on Campus.
- Respond to incoming telephone calls promptly, screen and connect calls to appropriate parties, or
communicate messages by voice mail or email. Assess urgency of calls and remain calm in dealing
with complaints and problems.
- Provide administrative support to the facilities’ department, and other institutional committees as
needed, assisting with minutes and documentation
- Maintain an awareness of campus functions and events to provide assistance to callers and visitors.
- Maintain an awareness of people entering and leaving the building for security purposes.
- Manage incoming and outgoing mail, distributing incoming mail, parcel or other courier deliveries,
maintaining confidentiality of documents. Processing daily outbound mail and courier deliveries.
- Provide relevant on-the-job training to student staff member(s) and assists with the monthly
scheduling of those staff members
- Issue keys and fobs to students, guests and contractors.
- Maintain and organize “Lost and Found” service in accordance with the lost and found policy.
