Reporting to the National Manager RFP & Contract Administration, the Bilingual RFP Specialist will support the preparation, coordination, and submission of competitive proposal responses across Canada.
What You’ll Do:
In this dynamic role you will be responsible for all aspects of RFP coordination and Data Administration, supporting the Commercial Team in the preparation and submission of high-quality bids across Canada.
Key responsibilities include:
- Monitor tender websites daily to identify and submit relevant RFP opportunities for Commercial Team review
- Prepare, coordinate, and submit bid responses in both English and French
- Serve as the primary point of contact for internal and external proposal-related inquiries
- Develop RFP project timelines, task lists, and meeting schedules to ensure deadlines are met
- Review RFP documents, contracts, terms, and conditions, and prepare concise opportunity summaries
- Collaborate with cross-functional teams to gather and validate proposal content and supporting documentation
- Compile technical specifications, regulatory information, brochures, product data, and samples relevant to submissions
- Design, format, edit, and produce professional proposal documents
- Monitor contract amendments and updates posted on tender portals and maintain accurate RFP documentation
- Ensure proposal terms, agreements, and contractual language comply with company policies and approval processes
- Conduct final quality reviews for accuracy, grammar, readability, formatting, and consistency
- Submit proposals electronically and in hard copy formats as required
- Manage multiple concurrent RFPs while meeting strict and non-negotiable deadlines
- Provide support and cross-coverage to other members of the RFP Administration team
- Assist with ad hoc reporting, data analysis, and contract comparison activities following award notifications

You bring:
- Professional-level fluency in English and French, including business writing and verbal communication
- The ability to confidently manage multiple priorities and lead projects simultaneously under tight timelines
- Demonstrates strategic thinking with the ability to assess opportunities, identify risks, prioritize competing deadlines, and support the Commercial Team in developing high-quality, competitive proposal submissions
- Exceptional attention to detail and organizational skills
- The ability to work independently while building effective relationships across teams
- A proactive mindset with a strong aptitude for research, problem-solving, and supporting business objectives
- Flexibility to work additional hours when required to meet proposal deadlines
- Qualifications & Requirements
- College diploma required; university degree considered an asset
- Business-level fluency in English and French (written and verbal)
- 3–5 years of experience preparing RFP/RFQ bid submissions preferred
- Proficiency with Microsoft Office Suite, including SharePoint, Word, Excel, Outlook, and Teams
- Intermediate Excel skills required, including strong VLOOKUP capabilities
- Highly detail-oriented with the ability to gather and synthesize information from multiple sources
- Working knowledge of contracts, procurement terminology, and proposal processes is an asset
- Experience within MedTech or familiarity with Canadian hospitals, SSOs, and GPOs is considered a strong asset

Hours and Location:
- This is a hybrid position based in Mississauga, requiring 3 days onsite weekly
- 8:00 am to 5:00pm (approximately)
- Mississauga (Meadowvale area)
