Remedy Wellness Centre is a multidisciplinary clinic located in Cook Street Village in Victoria. Our team is full of amazing health care practitioners and reception/admin superstars and we are looking for an administrative assistant to join our team!

This person has experience with complimentary healthcare professionals, is an exceptional multitasker with efficient communication and excellent people skills. They enjoy delivering a high level of compassionate customer/patient service and advocating for our skilled practitioners and their offerings. They are competent organizers who take initiative and encompass the agility to troubleshoot problems big or small. They are able to build meaningful connections and professional relationships with our patients, staff and practitioners. They work in partnership with the management team to ensure the day-to-day operations of the clinic run smoothly for everyone.
Does this sound like you? Here's what you will be responsible for:
- Being Part of Our Team. Working with the admin team and practitioners to efficiently complete daily tasks, with a high level of communication and organization skills, being a positive and supportive team player.
- Administrative tasks include billing and receiving insurance payments, addressing outstanding receivables, data entry, word processing, and cleaning duties.
- Assisting with managing practitioner needs. This includes adjusting practitioner shifts and schedules, and accommodating their practice needs.
- Managing patient needs. This includes regular reception shifts at the front desk, managing practitioner schedules, and really getting to know our patients (they are amazing) so you can start to anticipate their needs.
- Ensure the clinic continues to exceed cleanliness standards and safety measures.
- Opportunity for additional responsibilities including digital design, social media, help with staff event planning, and other projects that are more creative and fun.
What you need to succeed:
- Experience and enjoyment in working with people.
- 1-2 years in an office and/or customer service role required.
- Knowledge of the health & wellness industry as an employee and/or patient (previous work experience in a similar setting an asset).
- Exceptional customer service, sales and communication skills.
- You are a relationship builder with excellent interpersonal skills, professional and outgoing.
- Excellent attention to detail and organizational skills.
- Consistently maintain confidentiality and demonstrate good judgement, tact and diplomacy.
- Computer proficiency in programs like Microsoft Office and Google Workspaces (Drive, Excel, Word Doc)
- Experience with platforms including Jane App, Slack, Asana and Canva would be an asset
- Experience with scheduling - bonus if you are familiar with using Jane App software.
- Experience with insurance billing would be an asset, but we are able to train you on this.
- We set a repeating schedule so our admin staff can have predictable days off to allow for work-life balance. We do expect all staff to have some flexibility to also cover additional shifts on occasion, as we do our best to support each other if someone falls ill or is taking vacation time. We're closed on Sundays and most holidays.
- This position is available for up to 20 regular hours per week. We are looking to fill a specific shift schedule with minimal flexibility so if you are not available for these hours, please do not apply: Mondays 11:30-4:30pm, Tuesdays 3-8pm, Wednesdays 11:30-4:30pm, Fridays 11:30-4:30pm.
