Job Overview
We are looking for an organized, proactive, and reliable Administrative Assistant preferably with previous construction company experience to support daily office operations and assist our management team.
This role is ideal for someone who can multitask, stay organized in a fast-paced environment, and help keep projects and office operations running smoothly.
Key Responsibilities
- Answer and direct phone calls, emails, and walk-in inquiries professionally
- Greet clients, trades, suppliers, and visitors
- Manage office schedules, appointments, and meeting coordination
- Assist with document preparation, filing, scanning, and data entry
- Maintain organized digital and physical files
- Coordinate and follow up with homeowners, trades, suppliers, and internal staff
- Assist with purchase orders, invoices, receipts, and general office administration
- Support project managers and office staff with administrative tasks
- Prepare and send professional correspondence and reports
- Help maintain office supplies and general office organization
- Assist with social media posts, online listings, or marketing coordination when required
Qualifications
- Previous construction administrative or receptionist experience preferred
- Previous construction industry experience is preferred and considered a strong asset
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
- Proficient with Microsoft Office (Outlook, Excel, Word)
- Ability to work independently and in a team environment
- Strong attention to detail and problem-solving skills
- Professional attitude and appearance
