Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team. This role requires a detail-oriented professional with strong administrative skills, excellent communication abilities, and proficiency in various office software. The ideal candidate will be instrumental in managing schedules, handling correspondence, and ensuring smooth daily operations within a dynamic office environment.
Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and professionalism.
- Perform data entry and bookkeeping tasks using QuickBooks and other Office applications to support financial record-keeping.
- Organize files, documents, and records through efficient filing systems, both physical and digital.
- Assist with front desk responsibilities including greeting visitors and managing office supplies.
- Coordinate with clients and vendors via email or DocuSign for contracts or approvals.
- Provide exceptional customer service by addressing inquiries promptly and professionally.
- Support administrative projects as needed to facilitate overall office efficiency.
Qualifications
- Proven experience in an administrative or clerical role, preferably as an Office Assistant or Executive Assistant.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and DocuSign.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing speed and data entry accuracy.
- Exceptional proofreading skills to ensure error-free documents.
- Experience with multi-line phone systems and front desk operations.
- Outstanding customer service skills with professional phone etiquette.
- Ability to manage calendars efficiently using Microsoft Outlook Calendar.
- Previous office experience emphasizing organizational skills and attention to detail is preferred.

Pay: $44,424.95-$85,610.02 per year
