Medical Office Assistant – Ear, Nose & Throat (ENT) Clinic
Position Summary
We are seeking a friendly, organized, and compassionate Medical Office Assistant to join our growing Ear, Nose & Throat (ENT) clinic in a full-time capacity starting September 8* 2026*. The successful candidate will be responsible for providing exceptional customer service while supporting both the clinical and administrative functions of the practice. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced medical environment.
Responsibilities
Patient Care & Front Desk Support
- Greet patients and visitors professionally at the front desk, providing excellent customer service.
- Escort patients to examination rooms.
- Assist with check-in and check-out procedures, ensuring a seamless patient experience.
- Manage multi-line phone systems efficiently while answering inquiries.
- Schedule, reschedule, and confirm patient appointments.
- Coordinate procedures, diagnostic tests, and referrals as required.
- Respond to emails, faxes, and other clinic correspondence.
Clinical & Room Preparation Support
- Prepare, clean, and organize examination rooms between patients.
- Restock examination rooms and clinical supplies.
- Assist with the cleaning and sterilization of medical instruments and equipment in accordance with clinic infection prevention and control protocols (training will be provided).
- Ensure the cleanliness and organization of the office area as well as perform light cleaning duties.
Administrative Duties
- Maintain accurate electronic medical records using Accuro EMR.
- Verify patient information as well as enter and maintain accurate patient medical records.
- Prepare and organize documentation for appointments, procedures, and billing purposes.
- Handle administrative duties including filing, faxing, scanning, and data entry.
- File, scan, and shred confidential patient documents in accordance with privacy regulations.
- Perform other administrative or clinical support duties as assigned.
Qualifications
- Completion of Grade 12 is required.
- Successful completion of a recognized post-secondary Medical Office Assistant certificate program is preferred, previously relevant experience will be taken into consideration.
- Prior experience as a Medical Office Assistant is preferred.
- Proficiency with Electronic Medical Records (EMR) systems such as Accuro is required.
- Strong knowledge of medical terminology and healthcare office procedures is preferred.
- Legible handwriting is required.
- Strong computer and keyboarding skills are required.
- Excellent communication skills for interacting with patients and staff.
- Strong organizational skills with exceptional attention to detail.
- Ability to multitask efficiently in a fast-paced clinical environment.
- Fluency in English is required.
- Ability to maintain patient confidentiality and professionalism at all times.
- A criminal record check and two references will be required.

Pay: $45,000.00 per year
