Position Summary
The MVA Assessment Coordinator is responsible for managing and coordinating assessments and treatment plans for clients involved in motor vehicle accidents. This role serves as the primary liaison between clients, healthcare providers, insurers, legal representatives, and assessment teams to ensure timely scheduling, accurate documentation, and efficient case management throughout the assessment process.
Key Responsibilities
- Coordinate and schedule independent medical examinations (IMEs), functional assessments, and rehabilitation evaluations for MVA clients.
- Communicate with insurers, legal representatives, healthcare professionals, and clients regarding assessment appointments and requirements.
- Review referral packages and ensure all necessary medical and claim documentation is complete and accurate.
- Experience in Antibex Universal Software is required.
- Maintain organized electronic and physical client files in compliance with privacy and regulatory standards.
- Track assessment timelines, follow up on outstanding reports, and ensure deadlines are met.
- Prepare and distribute assessment confirmations, reports, invoices, and related correspondence.
- Answer client inquiries professionally and provide updates regarding assessment status.
- Verify billing information and support invoice processing related to assessments.
- Ensure compliance with provincial insurance regulations, clinic policies, and documentation standards.
- Collaborate with multidisciplinary teams including physicians, specialists, occupational therapists, physiotherapists, psychologists, and case managers.
- Monitor workflow efficiency and identify opportunities to improve coordination processes.
Qualifications
- Diploma or degree in healthcare administration, medical office administration, business administration, or a related field preferred.
- Minimum 1–3 years of experience in medical coordination, insurance administration, rehabilitation services, or MVA-related healthcare settings.
- Knowledge of MVA insurance processes and rehabilitation assessment procedures is an asset.
- Strong organizational and time-management skills with the ability to manage multiple files simultaneously.
- Excellent verbal and written communication skills.
- Proficiency with EMR systems, Universal scheduling software, and Microsoft Office applications.
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and problem-solving abilities.
Preferred Skills
- Familiarity with accident benefit claims and insurer requirements.
- Experience working in multidisciplinary rehabilitation clinics.
- Understanding of medical terminology and assessment documentation.
- Ability to work independently and collaboratively in a fast-paced environment.
Work Environment
- Clinic, rehabilitation center, assessment facility only.
- Full-time position.
Reporting Structure
Reports to the Clinical Manager, Operations Manager, or Director of Rehabilitation Services.
