We are seeking a highly organized, detail-oriented, and professional Academic Assistant / Secretary to directly support a leading Pediatrician based in Scarborough. This unique hybrid role bridges clinical front-desk support, high-level research administration, and academic project management.
The ideal candidate has a strong background in science or health studies, thrives in an organized environment, and is looking for a stable, long-term, part-time position where they will receive comprehensive training. Strict confidentiality and discretion are absolute requirements for this role.

Key Responsibilities
Research & Academic Support
- Data Management: Execute precise patient data collection and manage Electronic Data Capture (EDC) systems in strict compliance with healthcare privacy standards.
- Regulatory & Compliance: Handle official communication and documentation submissions to relevant institutional and healthcare regulatory authorities.
- Project & Deadline Tracking: Manage strict timelines for research paper submissions, peer reviews, manuscript corrections, and journal edits.
- Conference Preparation: Should be able to design and format high-quality PowerPoint presentations, coordinate logistics/materials for upcoming workshops and medical conferences.
- Editorial Assistance: Assist the physician with administrative tasks tied to medical book editing, chapter revisions, and literature reviews.
Administrative & Clinical Front Desk Duties
- Clinic Reception: Provide welcoming, professional front-desk coverage at the Scarborough hospital/clinic location as needed.
- Meeting Coordination: Attend research and administrative meetings, take detailed minutes, and follow up on actionable items.
- General Administration: Manage correspondence, phone inquiries, digital filing, and other miscellaneous administrative tasks to ensure day-to-day operations run seamlessly.
Qualifications & Requirements
- Education: Bachelor’s degree in Biology, Health Sciences, Health Studies, Biotechnology, Chemistry, or a closely related scientific field.
- Experience: Previous exposure to administrative environments (medical, clinic, or corporate office setting) is highly preferred.
- Communication: Exceptional verbal and written English communication skills, with the ability to draft professional emails, research communications, and interface with regulatory bodies.
- Technical Skills: Proficiency in Microsoft Office Suite (especially PowerPoint and Word); familiarity with Electronic Data Capture (EDC) or Electronic Medical Records (EMR) software is a strong asset.
- Attributes: High level of integrity, absolute respect for patient confidentiality, incredible attention to detail, and strong organizational skills.
- Availability: Must be able to commit to the role for a minimum of 2 years (Comprehensive training will be provided to the right candidate).
