We are seeking an organized, detail-oriented QC Document Controller to join our shutdown team. This role is responsible for managing all Quality Control documentation throughout the shutdown, ensuring records are accurate, current, secure, and submitted in accordance with client specifications, applicable codes, company procedures, and quality requirements.
Key Responsibilities
· Maintain and administer the project Quality Control document control system throughout the shutdown.
· Receive, organize, track, and maintain all QC documentation, including inspection reports, weld maps, NDE reports, Material Test Reports (MTRs), hydrotest documentation, turnover packages, and quality records.
· Ensure documents are properly named, categorized, and stored for efficient retrieval.
· Maintain document registers, revision logs, and document transmittals.
· Control document revisions and ensure only current, approved documents are distributed to field personnel.
· Coordinate the review and approval process for QC documentation with inspectors, project management, clients, and third-party inspectors.
· Track document status and follow up on outstanding inspections, reports, and approvals.
· Manage access to confidential and controlled quality documents.
· Ensure document security, version control, and backup procedures are followed.
· Prepare and distribute document transmittals to clients, contractors, and internal teams.
· Integrate and manage client quality documentation within the project document control system.
· Compile quality turnover packages and project closeout documentation for client submission.
· Archive completed quality documentation and maintain records in accordance with company and client retention requirements.
· Ensure all documentation complies with company procedures, client specifications, quality standards, and applicable industry codes.
· Support Quality Control Inspectors, Project Managers, Site Supervisors, and field personnel with documentation requests.
· Assist with project mobilization and demobilization documentation as required.
· Maintain accurate quality records throughout the project lifecycle, from document creation through final turnover and archiving.
· Identify opportunities to improve QC document control processes and efficiencies.
Qualifications
· Previous experience in QC Document Control,within industrial construction, fabrication, maintenance, oil & gas, petrochemical, or power generation environments.
· Experience compiling quality turnover packages and managing quality documentation is considered a strong asset.
· Strong understanding of document management, revision control, and quality documentation processes.
· Familiarity with welding documentation, inspection reports, Material Test Reports (MTRs), NDE reports, pressure testing documentation, and turnover packages is an asset.
· Excellent organizational skills with exceptional attention to detail.
· Ability to manage multiple priorities and meet tight deadlines in a fast-paced shutdown environment.
· Strong communication and interpersonal skills.
· Proficiency with Microsoft Office (Word, Excel, Outlook, Adobe Acrobat).
· Experience with document management systems such as SharePoint, Aconex, Coreworx, or similar platforms is considered an asset.
· Ability to work independently while supporting multiple project teams.
Requirements
· Willingness to travel to the project site.
· Ability to stay in camp accommodations for the duration of the shutdown.
· Ability to work extended hours, weekends, and overtime as required during the shutdown.
· Valid Class 5 Driver’s Licence.
· Must be legally entitled to work in Canada.
· Successful completion of pre-access requirements, including client orientations, drug and alcohol testing, fit-for-duty assessments, and required safety training where applicable.
