SUMMARY
Under the supervision of the Executive Director, The House Manager provides operational management of Amata Transition House Society. The House Manager ensures the day-to-day operations is consistent with organizational policies and procedures, the Society’s mission, philosophy, ethics, and purpose, works collaboratively with the Executive Director on implementing strategic and operational plans, Works closely with coordinators, staff and contractors ensuring services are provided to clients at the highest levels of quality. The House Manager deals with any issues that arise minimizing organizational risks. Provides day-to-day direction and supervision to all employees under their responsibility.
WHAT YOU WILL DO:
- Ensures services and programs are delivered in high quality client centered approach, maintaining the confidentiality of information and safety of clients.
- Ensures daily operations run smoothly and are compliant to applicable government regulations and laws and in alignment with organizational policies and procedures.
- Ensures continuous improvement of all aspects of operations, dealing with any issues that arise.
- Plans, organizes, directs, and controls day-to-day administration, prepare and verify work schedules, ensuring all aspects are carried out consistent with Amata Transition House Society policies and procedures.
- Manages the supervision and management of staff effectively according to the organization’s performance
- Ensures narrative and data reports to funders and the board are completed at the right time and in an accurate manner.
- Designs resource development plans as well as manages the recruitment, onboarding and training of new employees. This is in addition to staff’s professional development decisions to meet future organizational needs.
- Establishes and ensures all professional, licensing, and accreditation requirements are in place to satisfy legal, regulatory, and service quality requirements.
- Ensures risk management policies and procedures are implemented and monitored closely to protect the agency, employees, and volunteers from liability and other claims; this includes compliance with Workplace Safety standards.
- Alerts the Executive Director promptly of any extraordinary circumstances, including financial, legal or ethical issues that may arise.
- Suggests changes to policies, recommendations, proposals, and plans to the Executive Director and the Board for review, consideration, discussion, and approval.
- Provides monthly reports about the Society’s programs and services, its financial status, its progress towards organizational objectives, and other issues of concern in order to assist the Executive Director and the Board to make sound decisions.
- Works to ensure internal flow of communication in the organization including regular staff meetings for information-sharing, debriefing and professional development between programs, staff and the Board of Directors.
Financial Management
The House Manager will collaborate with the Finance Manager and Executive Director (ED) to ensure:
- Works with the Finance Manager in ensuring Financial integrity, management and accountability to organizational work and commitment to funders.
- Participates in the preparation of annual budget and expenditure in collaboration and approval of Finance Manger and the ED in accordance with the organization’s financial policies.
- Monitors programs’ budgets, cash flows, variances, financial statements, reports, and expense records.
- Provides financial information upon request and during financial audits and monitors reports.
- Ensures proper administration and security of all society record-keeping including financial information. Develops and implements consistent inventory and cost accounting policies, procedures, and operational reporting/metrics.
Human Resources Management
- Provides ongoing supervision, leadership, support and guidance to staff and practicum students. Responsibilities include but are not limited to writing job descriptions and job postings, interviewing, and selecting staff, orienting new staff, training, coaching, mentoring and facilitating succession management.
- Ensure all employees receive orientation and on-going professional development to support the work of the organization and future needs.
- Ensures all staff understand and adhere to Human Resources Policies, Procedures, and Standards.
- Clarifies performance standards and expectations for employees and how performance will be measured and completes performance appraisals.
- Takes decisive and appropriate action in situations where there are performance problems.
- Oversees and participates in all actions of progressive discipline and termination of any staff.
- Establishes and implements personnel management and human resource policies necessary to support the objectives of the Society. Manages the union and labor relations issues, solving them promptly and effectively, whenever possible.
- Provides support through mediated conflict resolution between staff, clients and program managers.
- Assesses, coordinates and approves staff requests for vacation or other leaves.

Community Relations
- Establishes and maintains positive and effective relationships with clients and staff
- Represents the Amata Transition House Society at community events, official functions and participates on various community committees and working groups as an advocate for the Society when needed.
- Maintains an active involvement in regional and provincial Societies related to the Society, including British Columbia Society of Transition Houses (BCSTH) and Community Social Services Employers Association (CSSEA).

Competencies
- Must have strong leadership and management skills, strong data analysis logical and critical thinking, excellent interpersonal and communication, excellent organization and decision-making , conflict management, strong computer/ office equipment and software skills.
- Experience working with Quick-Books online and using ComVida Payroll System is an advantage but willing to train the right candidate.
- Knowledge and feminist approach in the area of social disadvantage and violence against women and children.

Education:
- Relevant university degree in business administration or equivalent experience.
Experience:
- Sufficient experience working in the a unionized nonprofit field , managing stakeholder relations.
- Experience working with community partners and funders. Excellent presentation, public relations, oral, written and interpersonal communication skills. Ability to deal tactfully and sensitively with client and family issues. Well-developed organizational and decision-making skills.
Other
- Background in dealing with clients with mental health or addiction issues and experience in de-escalation techniques.
- Ability to participate at meetings, conferences, and other events that may involve evening and/or weekend work. Approachable demeaner and enthusiastic about being a team player.
- Clear Criminal Record Check
- The ability to function independently, under pressure, while managing multiple concurrent projects and deadlines including participating in, resolving and effectively managing stressful and emergency/crisis situations.
