Responsibilities:
- Greet visitors, tenants, and vendors warmly.
- Answer phone calls and emails, ensuring prompt and professional follow-up.
- Maintain the reception area in a clean, organized manner in accordance with building standards.
- Provide attentive, respectful, and solution-oriented customer service.
- Perform various administrative tasks, including document management, record updates, and filing.
- Draft, prepare, and send communications to tenants (notices, reminders, informational documents).
- Contribute to the continuous improvement of administrative and operational processes.
- Coordinate and follow up on administrative and operational files in collaboration with internal teams and vendors.
- Create and process purchase orders, ensuring accuracy and compliance with internal procedures.
- Log service requests into the appropriate system and follow up until resolution.
- Collaborate with management, security, maintenance teams, and vendors to address tenant requests.
- Manage incoming and outgoing mail and packages as needed.
Qualifications and Skills:
- High school diploma or equivalent; college diploma (DEC) is an asset.
- 1–2 years of experience in customer service, administration, or a similar role.
- Experience in commercial real estate or office buildings (an asset).
- Strong communication and customer service skills.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Proficiency in Microsoft Office; experience with a service request management system is an asset.
- Professionalism, courtesy, discretion, and a positive attitude.
