CSN 427 Auto Collision is currently looking for a Dealer & Sublet Coordinator to join our growing team! The Dealer & Sublet Coordinator is responsible for the seamless end-to-end management of all sublet repairs and dealership relations. This role serves as the primary point of contact between the shop and external service partners, ensuring that vehicles are processed efficiently, information.
Major Areas of Responsibilities
1. Sublet & Dealer Management
- Active Sublet Oversight: Effectively manage and organize the movement of all sublet vehicles to ensure they are processed in an efficient manner.
- Dealership Liaison: Act as the primary communicator with dealership service departments to schedule repairs and retrieve status updates.
- Internal Relay: Provide timely and relevant information to the internal production team regarding sublet ETAs and timelines.
- Logistics Planning: Make decisions with the "big picture" in mind to ensure the most efficient repair flow for the organization, insurance company, and the customer. Safely deliver vehicles to and from dealers on a regular basis.
2. Communication & Professionalism
- Information Accuracy: Maintain high standards in all verbal communication & written documentation, ensuring names, dates, and vehicle details are correct to prevent confusion.
- Professional Representation: Embody warmth, professionalism, and positivity when representing the company to external dealership partners and insurance vendors.
- De-escalation: Use composure and empathy to handle difficult conversations or delays with external partners.
- Interpersonal Collaboration: Maintain an approachable demeanor, making it easy for internal staff to seek information or assistance.
3. Operational Standards & Reliability
- Engagement & Focus: Maintain a consistent focus on daily tasks, setting a productive and professional tone for office and production staff.
- Punctuality: Adhere to strict attendance and punctuality standards to ensure the morning workflow is never delayed.
- Workspace Maintenance: Ensure that personal office space and common areas related to sublet coordination are organized and presentable at all times.
- Confidentiality: Handle all sensitive company, staff, or client information with total discretion and professionalism.
- Invoicing: All dealer & sublet invoices are uploaded accurately and in a timely manner. Invoices are then provided to the correct team members based on specific instructions provided by management.
4. Leadership & Cultural Alignment
- Company Values: Actively project a positive work environment and align all daily actions with the company’s core values.
- Proactive Problem Solving: Identify potential delays at dealerships before they affect the shop’s delivery dates and take proactive corrective action.
- Process Improvement: Suggest and implement improvements to Standard Operating Procedures (SOPs) related to sublet tracking and dealer communication.
- Team Support: Support colleagues through knowledge sharing and collaborative problem-solving to ensure the whole team succeeds.
Key Performance Indicators (KPIs)
● Efficiency: Sublet turnaround times (Cycle Time) and commitment to efficient repair
timelines.
● Accuracy: Minimal errors in vehicle documentation, dealership billing instructions, or invoicing.
● Communication: Consistently maintain high communication standards across verbal & written communication, to support positive outcomes.
● Team Collaboration & Feedback: Actively works together with colleagues, teammates, and management to solve problems and achieve company goals. Generally
Required Education, Skills and Qualifications
- 3 years’ experience in Customer Service, previous experience in the automotive industry is preferred.
- Knowledge of collision repair process and/or auto insurance claims is an asset.
- Experience in Sales
- Analytical and problem solving skills.
- Effective written and verbal communication skills.
