Position Overview
The Special Projects Coordinator provides coordination, scheduling, documentation, communication, and administrative support for the Commercial Electrical Department. This role helps ensure projects and service work run efficiently by maintaining accurate records, coordinating schedules, following up on outstanding items, and supporting communication between field staff, customers, vendors, and internal teams.
Duties & Responsibilities
Coordination & Administration
- Coordinate daily information flow, scheduling, records, follow-up, and administrative requirements for the commercial electrical department, including electrical service, fire alarm, maintenance, and projects.
- Maintain accurate files, work orders, purchase orders, quotes, approvals, customer communication, status trackers, and closeout records.
- Follow up on missing information, outstanding approvals, documentation gaps, material needs, schedule changes, and open action items.
- Maintain technician schedule while adapting to changes from the field and various external factors.
- Support managers, project teams, field staff, customers, vendors, and accounting with timely and accurate information.
Communication & Collaboration
- Communicate professionally with internal teams, customers, vendors, subcontractors, and leadership.
- Represent Site Connect professionally while building positive relationships with customers and business partners.
- Provide accurate updates regarding workload, priorities, project status, risks, commitments, and outstanding issues.
- Collaborate across departments and regional branches to promote consistency and support company objectives.
- Work closely with the Purchasing and Accounting departments to ensure accurate material procurement, job costing, and project tracking.
Process Support
- Coordinate small service quotes and track approvals through completion.
- Schedule and coordinate annual fire alarm inspections and deficiency repairs.
- Check documentation for completeness before billing, closeout, purchasing, delivery, or escalation.
- Maintain organized digital and physical records in accordance with company standards.
- Identify recurring process gaps and recommend improvements to reduce delays, rework, and missed information.
- Support QA/QC activities including inspections, deficiencies, and turnover documentation.
Skills & Qualifications
- 2–3 years of experience in the electrical, fire alarm, construction, or related industry is required.
- Previous experience in project coordination, administration, dispatching, purchasing, customer service, or technical operations support is considered an asset.
- Strong organizational skills with the ability to maintain accurate records, trackers, schedules, files, and documentation.
- Excellent time management skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to provide clear updates, coordinate between teams, and escalate issues when required.
- Demonstrated ability to take ownership of assigned tasks and follow them through to completion.
- Customer-focused mindset with the ability to build positive relationships and provide professional, responsive service.
- High attention to detail with strong accuracy in documentation, data entry, and record keeping.
- Ability to quickly learn new software systems, workflows, industry terminology, and company processes.
- Experience coordinating with electrical suppliers or vendors to source materials and equipment is considered an asset.
- Proficient with Google Workspace, Microsoft 365, Bluebeam, PDF editing software, shared file management, and other business software.
- Ability to work independently while collaborating effectively within a team environment.

Pay: $60,000.00-$70,000.00 per year
