The Fine Art Operations Coordinator is responsible for the preparation, tracking, and administrative oversight of all fine art moving jobs. This role ensures that crews are fully equipped with accurate documentation, jobs are executed smoothly, and all activities are properly tracked, recorded, and communicated. The successful candidate also has an appreciation for the arts.
Main Responsibilities:
- Prepare complete client files and job packages prior to each move assignment, ensuring all documentation is clear and aligned with client requirements.
- Conduct a full site and logistics review prior to each assignment, including:
- Assess potential restrictions related to truck size, parking, and access points.
- Identify any risks or restrictions that may impact execution, and
- Complete and maintain a standardized equipment checklist per job.
- Conduct pre-job confirmation calls with clients confirming timing, site access and other special instructions while addressing any last-minute client questions or concerns.
- Ensure all required customs data is accurate, complete, and submitted in advance of border arrival ensuring that all export declarations meet regulatory requirements and deadlines.
- Monitor active jobs in real time to anticipate delays or disruptions, maintaining ongoing communication with crews throughout the day as required.
- Ensure post-job processing is accurate and complete, including documentation and compliance requirements, internal communication with required departments, and updating activities in our Moveware database system.
- Other related duties as required
Required Experience and Skills:
- Minimum 2 years successful experience in a high-touch customer service environment is required
- Minimum 1 year experience in a logistics/transportation role in a fast-paced environment is highly desirable
- Related post-secondary education background in the arts or a similar field is considered an asset
- Strong coordination skills and attention to detail required. A tenacity for gathering all required information and following tasks through to completion is essential to success.
- Strong computer skills required, including experience utilizing database systems, comfort with exploring and learning new systems, and working knowledge of typical Microsoft applications such as WORD, EXCEL, Outlook, etc.
- Strong command of the English language (written and spoken) required. Strong command of other languages may be an asset

- Due to client commitments and the nature of this work, this role may require after hours support calls/emails when necessary
