GBS Foodservice Equipment Inc. specializes in the sale, service, and support of commercial foodservice equipment across Ontario. We work with restaurants, hotels, institutions, and other commercial kitchens to supply equipment, parts, and technical service.
What This Role Is
We are looking for a reliable, detail-oriented Accounts Payable Clerk to manage the day-to-day AP function. This is a hands-on, steady-state role focused on keeping vendor payments accurate, on time, and well-organized.
You will own the AP process, work independently, and be trusted to keep things running smoothly and play a key role in maintaining consistent operations.
What You Will Do
1. Invoice Processing & Vendor Payments — primary focus
- Receive, review, and code vendor invoices across two business entities
- Match invoices to purchase orders and receiving documents
- Enter invoices into the accounting system accurately and on time
- Send weekly payment notifications to vendors
- Onboard new vendors in the system
- Maintain vendor files, payment terms, and supporting documentation
- Resolve invoice discrepancies with vendors and internal departments
- Track outstanding payables and manage AP aging
- Help maintain organized digital and physical filing for AP records
2. Expense Reports & Credit Card Reconciliation
- Collect and review employee expense reports for completeness and policy compliance
- Reconcile corporate credit card statements monthly
- Code and enter expense transactions into QuickBooks
- Flag unusual or out-of-policy charges for management review
3. Month-End, Year-End & Reporting Support
- Assist with month-end AP accruals, cutoff, and reporting
- Support year-end audit by providing documentation and schedules
- Maintain organized digital and physical AP records
4. Process Improvement & Systems Transition
- Support the transition from QuickBooks Desktop to new ERP system
- Identify opportunities to streamline AP workflows and reduce manual effort
Systems & Tools
You will work with the following tools. Prior experience with all of them is not required — what matters is your ability to learn.
- QuickBooks Desktop - current accounting system
- Microsoft Office Suite — Excel, Outlook, Word, Teams (daily use)
- Invoice scanning and AP automation software
What We Are Looking For
The right person for this role is naturally organized, consistent, and takes ownership of their work without needing to be managed closely. You pay attention to the details, you follow through, and you communicate clearly when something doesn't add up.
- 3–5 years of accounts payable or general accounting experience
- Experience with any accounting software or ERP (QuickBooks, Sage, Xero, Microsoft Dynamics, NetSuite or similar)
- Experience with invoice scanning and AP automation software
- Strong Excel skills - comfortable with lookups, pivot tables, and reconciliation
- Excellent attention to detail and accuracy in data entry
- Strong written and verbal English communication
- Able to work independently, manage deadlines, and stay on top of recurring tasks
- Ability to work in a fast-paced, high-volume environment
- Comfortable working across multiple company files and chart of accounts
- Post-secondary education in accounting, bookkeeping, or a related field is preferred
Location
This role is fully on-site at our Oakville, ON office.

Pay: $50,000.00-$60,000.00 per year
