JTA Development Consultants is a land development and project management company. We pride ourselves on delivering services that transform concepts into sustainable buildings. Our projects have a primary focus on new mixed-use housing in Metro Vancouver and complex permitting across BC and Alberta.
We are seeking a highly organized and detail-oriented Project Coordinator, Construction Administration to join our dynamic team. This role is essential in ensuring the successful execution of projects by coordinating various tasks and facilitating communication among stakeholders. The ideal candidate will possess experience facilitating permit requirements, strong project coordination skills, experience with project coordination, and a proven ability to manage multiple processes and deadlines simultaneously.
Familiarity with Planning, Zoning, Reporting Requirements, Submission Coordination, Coordination with Stakeholders, Coordination of Professionals to facilitate applications, permit processing, and facilitation of issuance. Rezoning, Development, Building, Health, Signage, and Occupancy permit processes across Western Canada.
Key Responsibilities
- Coordinate project activities from initiation through completion, ensuring alignment with project goals and timelines.
- Coordinate requests for proposals for new projects
- Facilitate project meetings, create and distribute minutes of meetings and invitations
- Facilitate and lead pre-application meetings with authorities having jurisdictions across BC and Alberta (local City Planing Departments mainly).
- Coordinate project milestones, tasks and feedback between Clients, JTA, City Staff, the Design team and user groups
- Facilitate requirements gathering information to define project scope and objectives, ensuring all requirements are met.
- Utilize project management tools to track progress, manage documentation, and communicate updates effectively.
- Implement quality management practices throughout the project lifecycle to ensure deliverables meet established standards and timelines.
- Employ methodologies to optimize workflow and enhance team productivity.
- Collaborate with cross-functional teams in design, finance, construction and approvals to drive project success.
- Communicate regularly with stakeholders regarding project status, risks, and issues, providing solutions as necessary.
- Prepare detailed reports and presentations for senior management to showcase project progress and outcomes.
- Updates to proforma’s, project schedules, reporting documents, and proposals to various clients and stakeholders as necessary
Requirements
- Technical Diploma or relevant University Degree or work experience and familiarity with zoning, design, and construction processes.
- Excellent communication skills, both verbal and written, with the ability to engage effectively with diverse teams.
- Proven experience as a Coordinator or similar role in project management, planning, project delivery, design or construction.
- Proficiency in using software for resource planning and tracking.
- Strong skills in requirements gathering, quality management, and program management.
- Understanding of planning processes, permitting requirements, facilitation of applications and requirements helpful.
- A proactive approach to problem-solving with strong analytical skills.
