Role Overview
The Office Administrator & Personal Assistant is a full‑time, on‑site role supporting the owner of a growing home‑based business owner. This position blends administrative excellence with customer service, scheduling, and light bookkeeping. The ideal candidate has intermediate QuickBooks Online proficiency, exceptional communication skills, and thrives in a fast‑paced small‑business environment.
Key Responsibilities
- Calendar Management
- Maintain the owner’s calendar, schedule appointments, coordinate installations, and manage daily workflow.
- Customer Communication
- Answer calls, respond to emails, provide quotes, and deliver friendly, professional service.
- Booking & Scheduling
- Book consultations, installation dates, and follow‑ups.
- Personal Assistant Support
- Assist with daily tasks, reminders, errands, and organizational needs.
- Cold Calling
- Reach out to potential customers, contractors, and partners to generate leads.
- QuickBooks Online Tasks
- Create invoices, process payments, reconcile accounts, track expenses, and maintain accurate records.
- Bookkeeping
- Support monthly financial organization, receipts, vendor payments, and basic reporting.
- Ordering Materials
- Place orders with suppliers and ensure materials arrive on time.
- Email Management
- Draft, organize, and respond to customer and vendor emails with professionalism.
- Office Organization
- Maintain digital and physical filing systems, job folders, and workflow documentation.
Required Skills & Qualifications
- Intermediate QuickBooks Online experience (invoicing, expenses, reconciliation).
- Strong command of the English language (written and verbal)
- Excellent customer service skills with a friendly, professional demeanor.
- Strong organizational abilities and attention to detail.
- Comfortable making outbound calls, including cold calls.
- Ability to multitask and prioritize in a small-business environment.
