About the Role
We’re looking for a reliable, adaptable Administrative Office Support professional who can wear many hats and keep the office running smoothly. This role is ideal for someone who enjoys variety, takes initiative, and thrives in a fast-paced environment. You’ll play a key role supporting daily office operations, coordinating maintenance activities, managing accounts receivable, and ensuring exceptional customer service.
Key Responsibilities
· Provide general administrative support to management and team members.
· Answer phones, manage emails, and handle day-to-day office communications.
· Coordinate maintenance schedules, dispatch mechanics, and prioritize service requests.
· Communicate with customers regarding maintenance scheduling, updates, and follow-up.
· Coordinate office meetings and manage calendars.
· Prepare documents, reports, and spreadsheets.
· Maintain organized digital and physical filing systems.
· Process maintenance and service invoicing accurately and in a timely manner.
· Manage Accounts Receivable, including customer invoicing, payment processing, collections, account reconciliation, and following up on overdue accounts.
· Assist with maintenance contract administration, scheduling of recurring maintenance visits, and tracking service completion.
· Enter and maintain accurate customer, service, and billing information in company systems.
· Order office supplies and manage inventory.
· Liaise with customers, vendors, contractors, and internal teams to ensure smooth operations.
· Support internal projects and assist with additional administrative duties as required.

Pay: $20.00-$24.00 per hour
