Job Summary
We are seeking a professional and organized Receptionist to join our team. The position is part time/ Temporary to cover Maternity. The ideal candidate could expand into a long term role. The Candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with spas, or medical receptionist positions is ideal.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately with excellent phone etiquette
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records through filing and organization of documents
- Handle incoming and outgoing correspondence, including emails and mail processing
- Assist with billing, & bookkeeping, as needed
- Support administrative tasks such as proofreading documents, managing office supplies, and maintaining cleanliness of the front desk area
- Provide customer support by answering inquiries professionally and efficiently
- Coordinate with other departments to ensure smooth office operations
- Other duties discussed on the job.
Qualifications
- Proven clerical or administrative experience, preferably in a MediSpa setting
- Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry applications
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Exceptional customer service skills with professional phone etiquette
- Attention to detail for proofreading and filing tasks
- Ability to handle sensitive information discreetly and maintain confidentiality
- Prior experience working at the front desk or as a receptionist is preferred
- High school diploma or equivalent required; additional administrative training or certification is a plus
