Position Summary:
The Health Information Management (HIM) Technician supports Health Information Management (HIM) services by using electronic systems and applications to maintain the quality, accuracy, and data integrity of health records. This role supports documentation review and indexing, data integrity, disclosure of information, and patient/public intake for HIM services. Issues beyond routine scope are escalated to the appropriate HIM roles, HIM leadership or Privacy Office as required.
Responsibilities:
- Analyze, prepare, index, and quality-check electronic and scanned health record documentation in the electronic legal medical record (eLMR)
- Support clinics and clinical staff with point-of-service scanning processes
- Conduct record searches, retrieve documentation, and process records for long-term storage and other related duties to record management projects
- Provide front-line information and support regarding Health Information Management (HIM) services to patients, staff, and the public; escalate complex issues as required
- Provide information and intake support for MyDovetale enrolment requests
- Provide general support related to Dragon Medical One (DMO), supports when user-specific issues arise and escalation is required
- Manage inbound and outbound HIM communications, including fax and electronic report distribution, and supports and escalates to resolve misdirected or failed communications
- Ensure confidentiality and appropriate release of information in accordance with hospital policies and legislation
- Process appropriate requests for disclosure, access, and correction of personal health under PHIPA.
- Directs Freedom of Information and Protection of Privacy Act (FIPPA) requests to the Privacy Office.
- Monitor documentation quality, chart completion, and compliance using Epic tools and work queues; escalate issues as required.
- Perform data integrity analysis, escalating complex issues as appropriate.
Qualifications:
- Diploma or Bachelor’s degree in a relevant field required, e.g. Health Information or Health related discipline.
- Minimum of one (1) year experience in Hospital HIM operations is required.
- An Ideal candidate would have a growth focus towards advancing HIM education and/or obtaining CHIM credentials.
- Medical terminology preferred.
- Must have experience working with Electronic Medical Record (EMR)/Clinical Information systems, preferably Epic systems.
- Must have experience and skill using MS Office suite, especial MS Word, Excel and Outlook.
- Strong customer service skills, conflict resolution, excellent communication skills needed to work with public and internal clients including physicians and registered health professionals.
- Uses developing analytical and problem-solving skills to manage routine end user issues, with support or escalation for more complex situations.
- Ability to work with minimal supervision, meet urgent deadlines, and effectively prioritize workload.
