Focus
The Food Safety Administrator is responsible for maintaining accurate supplier documentation and ensuring that required records are complete, current, accessible, and always audit-ready. We are seeking a focused and detail-orientated administrative professional to eliminate existing documentation backlogs while establishing efficient processes for onboarding new suppliers and maintaining compliance records ongoing. This is a full-time six (6) month temporary position, with possibility of extension.
Key Accountabilities:
- Update existing supplier files
- Create and maintain supplier records
- Coordinate with Sales/Procurement and Food Safety teams to obtain missing information with expediency
- Verify records are complete before supplier onboarding
- Track document expiry dates and monitor renewal requirements
- Maintain organized electronic records, filing systems and company databases
- Assist with audits (internal and external) and other requests for supplier documentation
- Identify opportunities and make recommendations to improve workflows and administrative processes

- Ability to interpret and apply procedural requirements with accuracy and good judgement
- Proficient user of technology, computer applications, and electronic file management systems
- Excellent Verbal and Written Communication
- Ability to work independently while effectively collaborating with cross-functional teams to achieve mutual goals
Education and Experience:
- 1-2 years’ experience working in a similar position
- 1-2 years’ experience working in a regulated industry (ie: food manufacturing, pharmaceuticals, cannabis, etc.) in any role
- Relevant post-secondary diploma or certificate(s) (ie: Office Administration, Food Safety, HACCP, etc.) preferred
- Experience reviewing HACCP and Food Safety certification programs preferred
- Experience using an ERP system (ie: Microsoft Dynamics, SAP, Sage, etc.) considered an asset
Working Conditions
- Work is performed primarily in an office environment, at a desk, on a computer
- Work performed is primarily sedentary
- Work and overtime outside of regular office hours, including evenings, weekend, and holidays, may occasionally be required
