Client Experience Coordinator (Part-Time) – Kanata Clinic
Our busy pediatric physiotherapy and occupational therapy clinic in Kanata is looking for a friendly, organized, and enthusiastic Client Experience Coordinator to join our team!

We’re seeking someone who is service-oriented, proactive, and comfortable balancing multiple tasks while delivering exceptional client care as you’ll be supporting a diverse community of families.
What you’ll do:
- Warmly greet clients and families in person and over the phone, answering questions.
- Schedule appointments and help keep our clinicians running on time
- Process payments and complete direct billing to private insurance providers
- Maintain accurate and confidential client records, including personal and financial information
- Support therapists with day-to-day administrative needs
- Respond promptly to online booking requests and general inquiries
- Send appointment confirmations and reminders
- Manage incoming faxes and ensure documents are accurately uploaded to client charts
- Coordinate referrals, follow-ups, and daily callbacks
- Monitor clinic supplies and complete regular inventory checks
- Help keep the clinic clean, organized, and welcoming for families and staff
What we’re looking for:
- Fluency in English (spoken and written)
- A positive, compassionate attitude—especially when working with children and families
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- A team player who is also comfortable working independently in a busy environment
Schedule:
This is a part-time position with flexible shifts, including a mix of daytime, evening, and weekend hours. We’re hoping to welcome someone to the team as soon as possible.
Pay: $19.00-$22.00 per hour
