Overview
We are seeking a detail-oriented and proactive Night Dispatch Coordinator to oversee the coordination of freight and shipping operations during overnight hours. This role is essential for ensuring smooth transportation management, effective communication with drivers and clients, and maintaining accurate data entry within our logistics systems. The ideal candidate will possess strong communication skills, proficiency with transportation management systems, and the ability to analyze operational data to optimize dispatch processes.
Responsibilities
- Monitor all active shipments and ensure they remain on schedule.
- Track all trucks using GPS and provide real-time shipment updates.
- Communicate with drivers, customers, brokers, and carriers throughout the shift.
- Respond to all emails, phone calls, and messages promptly and professionally.
- Update shipment statuses accurately in the Fleet Management System (TMS).
- Coordinate pickup and delivery appointments and notify customers of any delays.
- Monitor driver Hours of Service (HOS) and ensure regulatory compliance.
- Request detention or waiting time when applicable and document it for billing.
- Collect, verify, and upload Proofs of Delivery (PODs), Bills of Lading (BOLs), and other required documents.
- Handle breakdowns, roadside assistance, and emergency situations by coordinating with drivers, vendors, and management.
- Escalate critical operational issues to management in a timely manner.
- Monitor trailer locations and equipment availability, and report maintenance issues.
- Maintain accurate records and detailed notes for all shipments and operational activities.
- Assist with planning and preparing loads for the following day's operations.
- Ensure customer service standards are met by providing timely and accurate updates.
- Prepare a comprehensive shift handover report, highlighting active loads, delays, pending issues, and priority tasks for the day shift.
- Follow all company policies, safety procedures, and transportation regulations.
- Work collaboratively with dispatchers, operations staff, drivers, and management to ensure efficient overnight operations.
- Perform any other duties assigned by the Operations Manager or Dispatch Manager.
Experience
- 1–3 years of experience in transportation, trucking, logistics, or dispatch operations (preferred).
- Experience using a Transportation Management System (TMS) or Fleet Management System.
- Experience monitoring shipments using GPS tracking platforms.
- Knowledge of cross-border transportation (Canada/USA) is an asset.
- Experience communicating with drivers, customers, brokers, and carriers.
- Experience handling shipment delays, breakdowns, and emergency situations.
- Familiarity with detention, lumper, and accessorial charges is preferred.
- Experience collecting and processing shipping documents such as Bills of Lading (BOLs) and Proofs of Delivery (PODs).Experience

Pay: $36,000.00-$46,000.00 per year
