Our Ideal Candidate
Allnorth is looking for a highly organized and proactive Project Administrator to join our team. In this role, you'll work closely with one or more Project Managers, providing administrative support across multiple projects while becoming an integral part of the project delivery team.
Unlike a traditional office administrator, you'll gain a strong understanding of project operations and contract requirements. You'll help keep projects organized, support day-to-day execution, and identify administrative or project-related issues before they become problems.
This is an excellent opportunity for someone looking to build a long-term career in project administration, with opportunities to grow into project coordination responsibilities over time.
A Day in the Life
- Provide administrative support to one or more Project Managers across multiple active projects.
- Manage daily Labour, Equipment and Materials (LEM) reporting and unit entries.
- Prepare basic project reports, including weekly summaries of project safety statistics, progress updates, project spending, and completed activities.
- Complete Project Request Forms and other project documentation.
- Coordinate project logistics, including travel arrangements, accommodations, safety ticket tracking, and expense receipt collection.
- Maintain accurate project records and documentation.
- Monitor project administrative data and identify potential issues, such as labour hour trends, missing unit entries, or other project variances, escalating concerns to the Project Manager as appropriate.
- Assist with document control, filing, and maintaining project records.
- Support the project team with additional administrative duties as required.
What You'll Bring to the Team
- Business Administration diploma or related education is considered an asset.
- 2–5 years of administrative experience, preferably supporting projects, operations, engineering, construction, or consulting environments.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong analytical mindset with the ability to recognize discrepancies and proactively communicate concerns.
- High level of professionalism and ability to handle confidential information.
- Advanced working knowledge of Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.
- Experience with project administration, project controls, or engineering consulting environments is considered an asset.
- A collaborative attitude and genuine desire to support project teams and contribute to successful project delivery.
