POSITION SUMMARY
The Dental Receptionist serves as the first point of contact for patients and visitors, delivering a welcoming and professional experience that reflects the values of our practice. Reporting directly to the Practice Manager, this role is responsible for the smooth and efficient operation of the front desk, including scheduling, patient communications, insurance coordination, and administrative support. The ideal candidate is organized, personable, and committed to delivering exceptional patient care.
KEY RESPONSIBILITIES
Patient Relations & Front Desk
- Greet patients warmly upon arrival and maintain a positive, professional atmosphere at all times
- Check patients in and out, confirm demographic and insurance information, and collect co-pays and balances
- Answer and triage incoming calls, emails, and patient portal messages promptly and courteously
- Respond to patient inquiries regarding appointments, treatment plans, and billing with accuracy and empathy
- Manage patient wait times and communicate delays proactively
Scheduling & Appointment Management
- Schedule, confirm, reschedule, and cancel patient appointments using practice management software
- Optimize the daily schedule to maximize provider productivity and minimize chair time gaps
- Maintain recall and reactivation lists; proactively contact overdue patients to schedule preventive care
- Coordinate referrals to and from specialist offices as directed by the clinical team
Insurance & Billing Support
- Verify patient dental insurance eligibility and benefits prior to appointments
- Accurately enter insurance information and obtain pre-authorizations where required
- Prepare and submit insurance claims; follow up on outstanding claims and patient balances
- Process payments, issue receipts, and reconcile end-of-day transactions
- Assist patients in understanding their treatment costs, coverage, and payment plan options
Administrative & Office Support
- Maintain accurate and up-to-date patient records in compliance with privacy legislation (PIPEDA/PHIPA)
- Manage incoming and outgoing mail, faxes, and correspondence
- Order and maintain front office supplies inventory
- Assist the Practice Manager with special projects, reporting, and office initiatives as needed
- Ensure the reception area and waiting room are tidy, organized, and stocked with current materials
QUALIFICATIONS & REQUIREMENTS
Education & Experience
- Secondary school diploma or equivalent required; post-secondary certificate in dental or medical office administration preferred
- Minimum 1–2 years of experience in a dental or medical office setting strongly preferred
- Familiarity with dental practice management software (e.g., Open Dental, Dentrix, Abeldent, Cleardent, or similar)
