Overview
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will be the friendly first point of contact for patients and visitors, ensuring smooth day-to-day operations at our clinic. Your organizational skills and positive attitude will help create an inviting environment while supporting administrative functions that keep our practice running efficiently. Saturday coverage is a required.
Duties
- Greet patients and visitors warmly, providing excellent customer service and answering inquiries about appointments, services, or billing.
- Manage multi-line phone systems, directing calls accurately and professionally while maintaining phone etiquette.
- Schedule appointments, coordinate calendars, and manage patient flow to optimize clinic operations.
- Handle data entry tasks such as updating patient records, processing payments, and verifying insurance information.
- Maintain organized filing systems (both digital and paper), ensuring all documents are accurate, up-to-date, and easily accessible.
- Assist with general clerical duties such as photocopying, faxing, mailing, and managing office supplies to ensure a well-organized workspace.
Skills
- Proven experience in office administration or clerical roles within a healthcare or professional setting.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are highly valued to serve diverse patient populations effectively.
- Strong attention to detail for proofreading documents and ensuring accuracy in data entry.
- Customer service orientation with the ability to handle inquiries professionally and courteously.
- Effective time management skills to prioritize tasks and meet deadlines consistently.
