Our company is searching for a reliable, organized, and motivated individual to join our team. The position will require the applicant to be very comfortable using a computer, have strong experience using Microsoft Word, Excel, and Outlook, and have an aptitude for learning new technology. Being comfortable answering, making calls, and answering emails professionally is also a must.
The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent communication skills.
We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.
Responsibilities
- Answering and directing calls using a multi-line phone system
- Monitoring and directing emails
- Preparing notices
- Correspondence with tenants, owners, and vendors
- Maintain cleanliness of front office and lobby
- Distributing mail
- WSIB compliance
- Tracking maintenance teams certifications, scheduling recertifications (working at heights, etc.)
- Tracking and scheduling vehicle maintenance
- Assisting with updating policy documents
- Updating contract PDFs
- Tracking insurance policy renewal dates
- New employee onboarding (service fusion, gmails, phones)
- Supply Inventory
- Organizing and managing employee blueprints
- New client onboarding
- Assist with leasing administration
- Coordinate communications between departments to help make sure important information is passed to the relevant parties
Qualifications
- Excellent communication skills, fully fluent in English
- Proficiency with technology
- Proficiency with Microsoft Office Suite
- 1-2 years experience working in an office environment
- Experience in Property Management is considered an asset
- Experience with Asana, Yardi, and Adobe is considered an asset
- Organized, strong attention to detail, and ability to multi-task
- Pleasant, professional, and friendly disposition
- Motivated
This position is an in-office position in our Kingston, ON office.
The hours for this position are Monday to Friday, 9am to 4pm.
