Construction Project Coordinator — Residential Custom Homes (In-Office, Toronto/GTA)
About this role
MGB Building Group builds and renovates high-end custom homes across Toronto and the GTA. We're looking for an experienced Construction Project Coordinator (also known as a Construction Coordinator, Project Administrator, or Construction Administrator) who has already held this title. Someone who knows the rhythm of a residential construction office, can juggle multiple active projects without dropping the ball, and communicates clearly with trades, suppliers, and executives alike.
This is a full-time, in-office role based in Toronto. You'll work directly alongside our Project Managers and company leadership on day-to-day coordination, documentation, estimating, procurement, and vendor management across all active residential builds and renovations. If your background is primarily administrative with no construction context, this role isn't the right fit.
Who this is for:A coordinator who has worked inside a residential construction, renovation or home-building company, dealt directly with trades and subcontractors, interpreted architectural drawings and blueprints, and put together estimates and bid documents.
What you'll do
- Coordinate day-to-day operations across multiple active residential construction projects simultaneously
- Interpret architectural drawings and blueprints, and assist with construction estimating and bid document preparation
- Manage vendor, subcontractor, and supplier relationships (ordering materials, coordinating deliveries, and tracking procurement)
- Act as the primary point of contact for trades and subcontractors requiring job information, drawing clarifications, or scheduling support
- Maintain accurate project documentation and records across digital platforms (Buildertrend, ClickUp, Dropbox, and MS Office)
- Update and upload procurement sheets, supplier lists, and trade records; keep job records and project schedules current
- Draft and manage proposals, SOPs, workflows, and internal process documents
- Coordinate internal and external meetings, manage inbound communications, and handle time-sensitive follow-ups independently
- Conduct research and set up new platforms or software tools as needed
What we're looking for
- 3–4+ years of experience as a Project Coordinator, Construction Coordinator, or Project Administrator in a residential construction environment. We're looking for this title and this industry, specifically
- Proven ability to read and interpret architectural drawings, blueprints, and construction documents
- Experience preparing cost estimates, bid packages, and procurement documentation
- Demonstrated track record managing multiple projects, schedules, and deadlines at once without losing accuracy
- Proficiency with construction management software. Buildertrend experience is a strong asset
- Advanced skills in Microsoft Office (Word, Excel, PowerPoint) and collaboration tools (ClickUp, Dropbox, Adobe)
- Exceptional written and verbal communication (you can correspond professionally with trades, suppliers, and executives)
- Strong attention to detail, organizational skills, sound judgment, and the ability to act independently with minimal direction
- Reliable transportation to commute to the Toronto office daily. Required
- Bachelor's degree or diploma in construction management, business, or a related field is preferred but not required with strong equivalent experience
