Full-Time Medical Office Assistant -Dermatology & MOHS Clinic

We are currently seeking a Full-Time Medical Office Assistant to support our Dermatology & MOHS clinic in Richmond.
The successful candidate will provide administrative and clinical support to the dermatologist and clinic team. This position requires strong organizational skills, attention to detail, professionalism, and the ability to remain calm and organized in a busy specialty clinic.
Roles and Responsibilities
- Lead by example at the front desk, setting expectations for professionalism and patient service
- Adapt to operational, scheduling, and workflow changes while maintaining front-desk standards and patient service expectations
- Greet and check in patients, providing a professional and welcoming first point of contact
- Answer phone calls, schedule appointments, and respond to patient inquiries
- Maintain and update patient records using electronic medical records (EMR) systems
- Assist with insurance verification and basic billing processes
- Coordinate referrals and follow-up appointments
- Manage front desk operations, including filing, efaxing, and scanning documents
- Maintain restocking and maintaining exam rooms
- Provide administrative support to a team of physicians, nurses, and clinic staff
- Deliver consistent, respectful customer service to patients and colleagues
- Maintain a calm, organized approach during peak clinic hours
Qualifications
- Previous experience working in a medical office or speciality clinic
- Dermatology experience is an asset
- Comfortable using multi-line phone systems
- Experience with electronic medical records (EMR); MedAccess is an asset
- Strong organizational skills with attention to detail
- Demonstrated ability to adapt to change, implement new processes, and support team transitions in a clinical environment
- Clear verbal and written communication skills
- Ability to manage multiple tasks in a fast-paced clinical environment
- Familiarity with medical terminology and clinic procedures
- Reliable, energetic, and hardworking
- Professional, friendly, and respectful manner with patients and staff
- Formal MOA training or certification is preferred
- Proficiency in English (spoken and written);second language is an assetExperience is valued, but long-term reliability, professionalism, and adaptability are essential.
