About This Role
The Client Services Administrator provides the operational and logistical foundation for the team. You will be the first point of entry for many of our day-to-day tasks — keeping appointments organized, documents prepared, files maintained, and clients well looked after when they walk through our door. You will also serve as backup across the Client Experience and Investment Operations roles, which means you’ll develop a broad understanding of how the business runs over time.
Client-facing responsibility in this role starts modestly and grows deliberately. We’re looking for someone who will build familiarity and confidence with our clients and our practice — and who will, over time, take on increasing ownership of client touchpoints and insurance servicing.
This is a full-time, 37.5-hour-per-week position, Monday to Friday from 9:00 AM to 5:00 PM, based entirely on-site at our Halifax office.
Responsibilities
- Calendar and appointment management — scheduling and coordinating client and team meetings
- Client greeting — welcoming clients as they arrive for appointments or drop by the office
- Inbound call and email support — backing up the Client Experience Specialist on client inquiries when needed
- Document preparation — KYC packages, client meeting files, agendas, and financial summaries
- File processing and document management — executing tasks as directed, maintaining accuracy and confidentiality
- Ongoing client relationship touchpoints — annual review coordination, meeting follow-up, and service continuity
- CRM data entry and file maintenance
- Meeting logistics — booking, preparing materials, confirming, and following up on paperwork
- Technology and project support — assisting with the implementation and ongoing management of office technology platforms, and contributing to team projects and initiatives as directed
- General backup coverage across Client Experience and Investment Operations roles during absences
- Insurance servicing support — assisting the Client Experience Specialist as familiarity develops, with increasing ownership over time
- Contribution to team projects and initiatives as directed — scope to expand over time
Qualifications
- Minimum 1 year experience in client service, operations, or administrative roles
- Previous experience in financial services, banking, insurance, or financial planning is a significant asset
- Exceptional organizational skills and a proven ability to manage competing priorities
- Strong attention to detail and a commitment to accuracy
- Advanced computer proficiency — MS Office, CRM software, and database navigation
- Professional written and verbal communication skills
- Discretion and sound judgment in handling confidential client information
- Genuine interest in financial services and in contributing to a client-first team
