We are currently seeking a highly organized, professional, and client-focused Client Services & Administrative Assistant to join our team. This position is initially intended to cover a maternity leave but offers the potential to transition into a permanent full-time role for the right candidate.

Position Overview
The Client Services & Administrative Assistant plays a key role in supporting advisors, managing client communications, coordinating office operations, and ensuring a seamless client experience.
As the first point of contact for many of our clients, the successful candidate will demonstrate professionalism, attention to detail, strong organizational abilities, and a commitment to outstanding service.
Key Responsibilities Administrative & Brokerage Support
- Provide day-to-day administrative support to advisors and team members
- Prepare, process, and monitor client documentation related to investments and insurance products
- Maintain accurate, organized, and compliant client records
- Track outstanding requirements, follow-ups, and deadlines
- Assist with operational processes, reporting, and workflow management
- Support office administration and special projects as required
Client Service & Communication
- Serve as the primary point of contact for inbound client inquiries
- Manage and triage incoming calls, directing clients to the appropriate team member when necessary
- Provide prompt and professional responses to routine client requests
- Schedule and coordinate client meetings, including in-person, virtual, and telephone appointments
- Manage advisor calendars and meeting logistics
- Act as a liaison between clients and advisors to facilitate timely communication and follow-up
- Deliver a consistent and exceptional client experience
QualificationsRequired Skills & Experience
- Exceptional organizational and time-management skills
- Strong verbal and written communication abilities
- Professional, positive, and client-focused attitude
- Excellent attention to detail and accuracy
- Strong problem-solving and multitasking abilities
- Proficiency with Microsoft Office applications including Outlook, Word, and Excel
- Ability to work independently while also collaborating within a team environment
Preferred Qualifications
- Previous experience in administration, customer service, financial services, insurance, banking, or a related field
- Experience working in a professional office environment
- Familiarity with investment or insurance industry processes is considered an asset but is not required
