We are looking for an organized and service-focused Office Coordinator to support daily operations at our Vancouver, British Columbia office. This is a Contract position suited to someone who enjoys creating a welcoming front-office experience, managing administrative details, and keeping workplace activities running smoothly. The successful candidate will work closely with internal staff to coordinate reception, office services, and event logistics while providing dependable day-to-day administrative support.
Responsibilities:
- Welcome visitors, manage front-desk activities, and respond professionally to incoming phone calls and general inquiries.
- Oversee shared administrative channels, including monitoring inboxes and ensuring requests are directed and completed in a timely manner.
- Coordinate courier deliveries, mail handling, and other office service activities to support smooth daily operations.
- Assist with workspace upkeep by tracking facility concerns and liaising with appropriate contacts to resolve maintenance issues.
- Partner with the Office Manager on administrative priorities and provide support for broader office coordination needs.
- Prepare meeting rooms, lunches, and client-facing events, ensuring spaces, materials, and logistics are ready in advance.
- Support field program setup by organizing materials, scheduling details, and other related administrative tasks.
- Open and maintain files within the network or database system, including entering client information accurately using Vision or a comparable platform.
- Provide additional administrative assistance during office-related changes and evolving operational requirements.
- Previous experience in an office coordination, reception, or administrative support role.
- Strong communication skills with the ability to handle inbound calls and email correspondence in a detail-focused manner.
- Proven accuracy in data entry and document handling within shared systems or databases.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Ability to manage multiple priorities, stay organized, and maintain attention to detail in a busy office environment.
- Experience arranging meetings, appointments, lunches, or small events would be considered an asset.
- Familiarity with Vision or similar database/software platforms for opening files and entering client data is preferred.
