We are Lloyd Burns McInnis LLP, a boutique insurance defence law firm located in downtown Toronto. We are seeking a billing clerk to join our team on a full-time basis.
This role is perfect for someone with experience navigating third party billing systems. As a Billing Clerk, you will support the billing process across the firm with a focus on using third party billing platforms, organizing pre-bills, processing and submitting direct billing, and contacting clients for Accounts Receivable.
This position is Hybrid in our Toronto office, requiring 2-3 days per week on-site. There will be frequent interaction with the associates and legal assistants to coordinate billing processes. There will be regular interaction with clients for accounts receivable work.
Scope of Duties:
As a Billing Clerk, here are some of the things that you would be tasked with:
- Submit all billing to Third Party or eBilling platforms (such Bottomline, Legal -X, Gemini, Serengeti, Counsel Exchange and Tymetrix)
- Monitor and follow up on rejected bills.
- Process and follow up appeals when required.
- Monitoring new file openings for firm-wide clients and ensuring accurate set up for all matters across e-billing.
- Ensure compliance of billing timelines, frequencies and other billing requirements by clients.
- Preparation of pre-bills for lawyers for review.
- Review, process and send bills out to clients.
- Update billing rates, including setup and maintenance of rate charts.
- Contact clients via email and/or phone about outstanding invoices and accounts receivable, establishing a structured collection operation.
- Investigate various discrepancies, such as incorrect billing rates, double entries, required documentation and approvals.
- Answer various billing questions from lawyers and staff.
- Support the onboarding process for new staff related to billing processes.
- Maintaining accurate client and matter information in our billing systems.
- Administer new and existing e-billing implementations across all electronic billing platforms.
- Resolving issues related to billings such as partial payments, deductions and rejections. Developing efficient ways to improve overall billing structure, client quality and customer service.
- Enter vendor invoices (accounts payable) and credit card transactions.
- Other accounting duties such as back up to the accounting department when required, performing bank deposits, getting cheques signed.
Our Ideal Candidate:
- Has 2-3 years of experience in a billings/accounting role
- Demonstrates strong organizational skills, time management skills, and attention-to-detail
- Is an excellent written and verbal communicator
- Can follow instructions, work independently, and provide meaningful contributions as a member of a fast-paced team
- Comfortable working with Word, Outlook and DMS, and billing software/platforms
- Loves staying organized and meeting deadlines
- Brings positivity, optimism, trustworthiness, agility and drive
Additional Requirements:
- A police check from your municipal police force is required following acceptance of the position.

Pay: $55,000.00-$70,000.00 per year
