Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a vital role in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Assist with bookkeeping and basic financial record keeping
- Support customer service efforts by addressing inquiries and providing support via phone and email
- Schedule appointments, manage calendars, and coordinate meetings for staff members
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks such as copying, scanning, faxing, and mailing correspondence
- Support medical or dental office functions if applicable, including patient check-in/out processes and insurance documentation
Skills
- Experience a must
- Strong computer skills with the ability to learn new systems quickly. we use Opendental software.
- Excellent organizational skills with attention to detail in data entry and document management
- Effective phone etiquette and customer support skills for front desk interactions
- Ability to multitask efficiently while maintaining accuracy under pressure
- Strong proofreading skills to ensure professional communication
- Knowledge of office procedures such as filing, record keeping, and managing multi-line phone systems
- Ability to work independently as well as part of a team in a fast-paced environment
Pay: $30.00-$35.00 per hour
