Overview
We are seeking a dedicated and organized Administrative Assistant/Intake coordinator to join our team. This role is essential in ensuring the smooth operation of our office, particularly within a therapy office environment. The ideal candidate will possess strong customer service skills and have a keen eye for detail, enabling them to manage various administrative tasks efficiently.
Duties
- Provide exceptional customer service and support to clients and staff, addressing inquiries and resolving issues promptly.
- Perform data entry tasks accurately, maintaining up-to-date records in our systems.
- Assist with scheduling appointments and managing calendars for the dental office.
- Handle phone calls with professionalism, demonstrating excellent phone etiquette.
- Proofread documents and correspondence to ensure accuracy and clarity before distribution.
- Organize office supplies and maintain an orderly work environment to enhance productivity.
- Support the team with various clerical duties as needed, contributing to overall office efficiency.
Requirements
- Proficiency in English
- Bachelor’s or Master’s degree in Psychology, Counselling, Social Work, or a related mental health field. Current students in Psychology or related programs are also welcome to apply.
- Proficiency in computer software applications, including word processing and spreadsheet programs.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent customer service skills, demonstrating a friendly and professional demeanor at all times.
- Attention to detail with strong proofreading abilities to ensure high-quality documentation.
- Effective communication skills, both verbal and written, to interact with clients and team members seamlessly.
- Ability to work independently as well as collaboratively within a team setting.
