Job Summary
We are seeking a Legal Administrative Assistant to join our legal team on a fixed-term contract basis, with the term running until the end of December 2026, with the potential for extension. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with office software. This role involves managing client files, preparing legal documents, coordinating appointments, and supporting both lawyers and clients to ensure smooth daily operations. The ability to multitask efficiently and handle administrative duties with precision is key.
Responsibilities
- Prepare and Draft Legal Documents: Assist in preparing, proofreading, and formatting legal documents, including contracts, pleadings, and correspondence.
- Client File Management: Maintain and organize client files, ensuring all documents are filed accurately and in compliance with legal protocols.
- Calendar and Appointment Management: Schedule and coordinate appointments, meetings, and court dates for lawyers, ensuring no scheduling conflicts.
- Court Filings and Legal Documentation: File legal documents with courts, government agencies, and third parties, ensuring timely and accurate submission.
- Client Communication: Act as a point of contact for clients, answering inquiries and providing case updates in a professional and timely manner.
- Billing and Invoicing: Assist in preparing and processing client billing, tracking expenses, and ensuring accurate invoicing.
- Legal Research: Conduct legal research as needed to support case preparation, gathering relevant documents or information for the legal team.
- Support Lawyers and Legal Team: Provide general administrative and clerical support to lawyers, including organizing case materials and preparing for meetings or hearings.
- Ensure Compliance: Help ensure all activities comply with legal and regulatory requirements, maintaining confidentiality and integrity in all tasks.
Experience
- At least two years of prior legal administrative experience is preferred, specifically in handling ICBC defense matters.
- Proficiency with Microsoft Office Suite (Word, Excel, and Outlook) is required.
- Experience with EsiLaw or other legal practice management software is highly desirable.
- Experience with legal document filing and court procedures, including e-filing and serving documents to courts and third parties.
- Proven ability to manage multiple tasks simultaneously in a fast-paced environment with a strong attention to detail.
- Excellent organizational skills, with attention to detail and accuracy in document proofreading and data management.
- Strong communication skills, with prior experience in client-facing roles or handling client inquiries in a professional manner.
- Familiarity with legal research tools or databases, and the ability to assist in gathering case-specific information.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
Pay: $50,000.00-$75,000.00 per year
